We blend creativity with purpose, creating visuals that are as functional as they are beautiful.
Outcome
A workforce scheduling platform that gives healthcare systems one view across every site, department, and specialty. Admins forecast coverage before gaps open, publish shifts with the rules that govern who can take them, and let the AI build a schedule they can review before anything goes live. Clinicians see their shifts, request time off, and swap coverage from their phone, with no calls to the staffing desk.
Challenge
Hospital scheduling is not one problem. It is regulatory limits, facility requirements, contracts, provider preferences, time-off, shift swaps, and demand that moves day by day. Most tools treat it as a calendar and leave the reconciliation to the admin. Gaps open in the units that can least afford them, overtime climbs, and the staffing team spends more time managing the schedule than running the floor.
Underneath that sat specific product problems. The calendar was a wall of color with no shared meaning. The shift creation flow did not distinguish between assigning a shift to a named person and publishing one with its own eligibility and rate rules. AI generation was a black box: a few inputs in, a finished schedule out, no way to see why anyone was placed where they were, no way to steer it without starting over.
Approach
Cross-site visibility first. The scheduler shows coverage across every site and department in one view, so staffing teams see where they are short before the shift starts, not after.
One flow, two behaviors. Picking a provider assigns the shift directly. Picking Open Shift surfaces the publication rules in place: provider type (Per Diem, Locum, Employee), per-type rates, rate masking, and skill and specialty eligibility. Both cases live in one flow instead of two separate screens.
Smart Schedule as a partner, not an oracle. We decomposed AI generation into a six-step wizard where every input is an explicit decision the admin makes before anything runs. Time-off requests, coverage per shift type per day, and holiday overrides are all confirmed up front. Generation produces a draft, not a live schedule, and the admin reviews each assignment before publishing.
Provider preferences built in. Shift and location preferences sit alongside the hard constraints, so the AI distributes shifts equitably instead of letting the same people absorb every undesirable slot.
Mobile for clinicians. A separate mobile experience gives providers live schedule access, time-off and shift-swap requests, and push notifications when something changes, with no coordination through the staffing desk.
Calendar readability. We gave color defined meaning and controlled density, so a full month stays scannable and open vs assigned shifts read at a glance.
